Venue Hire
These terms and conditions outline the responsibilities and expectations of both parties when booking an event at our venue.
By booking with us, you agree to adhere to the following terms:
1. Booking Confirmation
A booking is confirmed upon receipt of a signed agreement and a non-refundable deposit of £100 of the total hire cost.
The remaining balance is due 10 days prior to the event date. If payment is not received by the due date, the booking may be cancelled.
2. Payment
Payments can be made via credit or debit card, bank transfer or PayPal.
Late payments may incur an additional fee of 1%.
Any additional costs incurred on the event day (e.g., damages or extended hours) must be settled within 7 days after the event.
3. Cancellation Policy
Cancellations made 30 days or more before the event will forfeit the deposit.
Cancellations made within 14 days of the event will be charged 50% of the total hire fee.
If the venue cancels due to unforeseen circumstances, a full refund or rescheduled date will be offered.
4. Use of Venue
The venue is available for use during the agreed hours only. Additional time may be requested at an extra charge, subject to availability.
The client is responsible for ensuring that all guests, vendors, and attendees adhere to venue rules and regulations.
The venue must be vacated, and all personal belongings removed, by the agreed time. Failure to do so may result in additional charges.
5. Capacity and Safety
The client must adhere to the maximum venue capacity of 120 persons.
The client is responsible for the conduct and safety of all guests.
The client must comply with all health and safety regulations, including fire exits, emergency procedures, and COVID-19 protocols if applicable.
6. Catering and Alcohol
All catering must be provided by Hummyngbird Restaurant Ltd, unless otherwise agreed.
Alcohol may only be served by licensed bartenders. The client must obtain necessary permits for events serving alcohol.
The venue reserves the right to stop alcohol service if safety or legal concerns arise.
7. Decorations and Equipment
All decorations must be pre-approved by the venue. No nails, tacks, or adhesives may be used on walls or fixtures.
The client is responsible for any damage caused by decorations or third-party vendors.
All equipment must meet venue safety standards. The venue is not responsible for third-party equipment malfunctions.
8. Damages
The client is liable for any damages to the venue, equipment, or fixtures caused by event attendees, vendors, or staff.
A refundable security deposit of £150 may be required and will be returned within 3 days after the event, provided no damages occur.
9. Vendors
All external vendors (e.g., photographers, florists, entertainment) must be approved by the venue.
Vendors must adhere to venue regulations regarding set-up, clean-up, and conduct.
10. Force Majeure
The venue is not responsible for any failure to perform or hire out due to unforeseen circumstances beyond its control (e.g., natural disasters, government regulations, pandemics).
11. Liability
The venue is not responsible for injury, loss, or damage to personal property during the event.
The client is advised to obtain appropriate insurance coverage for their event.
12. Amendments
Any amendments to the event (e.g., change in date, number of guests, or services required) must be made in writing and agreed upon by both parties.
Additional fees may apply for changes made after booking confirmation.
13. Termination
The venue reserves the right to terminate the agreement and cancel the event if any terms and conditions are breached.
By confirming your booking, you acknowledge that you have read, understood, and agree to abide by these terms and conditions.
Venue Viewing & Consultation
These terms and conditions outline the responsibilities and expectations of both parties when booking an event at our venue.
By booking with us, you agree to adhere to the following terms:
1. Scheduling Viewings
All viewings must be scheduled in advance, subject to availability.
Viewings are available on Mon-Sat, 12pm-5pm and must be confirmed via email or our online booking system.
We reserve the right to reschedule viewings in case of unforeseen circumstances. We will notify you as soon as possible if changes are required.
2. Access to the Venue
Access will be granted solely for the purpose of viewing the venue, not for setup, rehearsals, or any other activity.
All visitors must be accompanied by a member of our staff during the viewing.
We ask that you respect any ongoing events or activities happening at the venue during your visit.
3. Group Size
Viewings are limited to 3 guests. If additional attendees are required, prior approval must be obtained.
All attendees must adhere to venue rules and instructions provided by staff.
4. Duration of Viewing
Viewings are typically 20 minutes in duration, allowing ample time to inspect the venue and ask any questions.
Extended viewing times can be requested but are subject to availability and may incur additional charges.
5. Health and Safety
All visitors must comply with the venue’s health and safety protocols, including any COVID-19 measures in place at the time of the visit.
Appropriate footwear must be worn, especially in areas under construction or setup.
Children must be supervised at all times during the visit.
6. Liability
Visitors enter the venue at their own risk. The venue is not liable for any injuries, accidents, or losses that occur during the viewing unless caused by venue negligence.
Visitors are responsible for any damages caused to the venue during the viewing.
7. Photography and Video
Photography and video recording during the viewing are allowed for personal reference only. However, any images or footage taken must not be used for commercial purposes without the venue’s written consent.
8. No Obligation
Booking a viewing does not obligate the client to book the venue. Similarly, viewing the venue does not guarantee availability for the event date, which must be confirmed separately with a signed contract and deposit.
9. Post-Viewing Follow-up
After the viewing, a member of our team will follow up within 3 days to answer any additional questions or provide a quote.
Should you wish to proceed with booking, we will hold your preferred date for 7 days, subject to availability and deposit payment.
10. Cancellation of Viewing
If you need to cancel or reschedule your viewing, please notify us at least 24 hours in advance. Failure to do so may result in limited availability for future viewings.
The venue reserves the right to cancel or reschedule viewings in case of emergencies, events, or maintenance work at the venue.
11. Privacy and Confidentiality
Any information shared during the viewing, including pricing, venue setup, or other proprietary details, is confidential and should not be disclosed to third parties.
By attending a viewing at our venue, you acknowledge that you have read and agree to these terms and conditions.
